Privacy Policy
Effective date: 10 July 2026 · Sound Neural AI Studio Inc.
This Privacy Policy explains how Sound Neural AI Studio Inc. ("Sound Neural AI", "we", "us", or "our") collects, uses, discloses, and protects personal information when you visit soundneuralai.pro, contact us, or engage our neural voice and audio services. We are committed to handling personal information responsibly in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and, where applicable, substantially similar provincial privacy legislation.
1. Who we are
Sound Neural AI Studio Inc. is a Canadian corporation operating a neural voice and audio production studio. Our registered business number is BN 736512048 RC0001. Our principal place of business is 148 Geary Avenue, Suite 102, Toronto, Ontario M6H 2B7, Canada. You may contact our privacy enquiries desk at [email protected] or by telephone at +1 (416) 531-8264.
For the purposes of PIPEDA, Sound Neural AI Studio Inc. is generally the organization responsible for personal information collected through this website and for client service relationships, unless a separate written agreement designates another party as controller or custodian for a specific project.
2. Scope of this policy
This policy applies to personal information we collect through:
- Our public website at soundneuralai.pro;
- Contact forms, email correspondence, and telephone enquiries;
- Client onboarding, contracts, invoicing, and project delivery;
- Studio visits and listening sessions at our Toronto location;
- Marketing communications you opt into.
This policy does not cover third-party websites, platforms, or services that we do not control, even if linked from our pages. When we integrate neural speech into your products, you may collect end-user data independently — that collection is governed by your policies, not ours, unless we act as a service provider under a data-processing addendum.
3. What personal information we collect
3.1 Information you provide directly
Depending on how you interact with us, we may collect:
- Identity and contact details such as name, email address, telephone number, job title, and organization;
- Enquiry and project information including messages, scripts, audio samples, technical requirements, and billing details;
- Consent records, including your agreement to this policy when submitting forms;
- Communications you send us and our replies.
3.2 Information collected automatically
When you browse our website, limited technical data may be collected through cookies and server logs, including IP address, browser type, device characteristics, referring URL, pages viewed, and timestamps. See our Cookie Policy for detail on optional analytics cookies and how to manage preferences.
3.3 Client project materials
Service engagements may involve scripts, brand assets, pronunciation guides, voice reference recordings, and stakeholder feedback containing personal information about your employees, contractors, or end users. We treat such materials as confidential client data and process them only to deliver agreed services.
3.4 Voice and audio data
Where a project includes voice modelling or reference capture with consent, we may process biometric-adjacent audio data. We do not commence voice modelling without documented consent from the voice subject and a defined lawful purpose. We do not sell voice profiles or create non-consensual replicas.
4. Why we collect personal information
We collect and use personal information for purposes that a reasonable person would consider appropriate in the circumstances, including:
- Responding to enquiries and preparing proposals;
- Delivering voice pilots, integrations, listening QA, and retainer services;
- Managing contracts, invoices, and accounts receivable;
- Scheduling studio sessions and remote reviews;
- Improving website security, performance, and content;
- Complying with legal, regulatory, and professional obligations;
- Protecting our rights and preventing misuse of our services.
We collect only information reasonably necessary for these purposes. When we no longer need personal information, we delete, anonymize, or securely archive it according to retention schedules described below.
5. Legal basis and consent
Under PIPEDA, we rely on meaningful consent for collection, use, and disclosure of personal information, except where the law permits otherwise. When you submit our contact form, you must actively confirm consent to processing under this policy. We do not pre-check consent boxes.
You may withdraw consent for non-essential communications at any time by contacting us. Withdrawal may limit our ability to continue a service relationship where information is required to perform the contract.
6. How we use personal information
Uses include:
- Operating and securing soundneuralai.pro;
- Communicating about projects, appointments, and deliverables;
- Conducting quality assurance listening and documentation;
- Aggregating anonymized analytics to understand site traffic patterns;
- Investigating suspected spam, fraud, or policy violations, including honeypot triggers on forms.
We do not use your contact details to send unrelated third-party marketing. We do not automate employment decisions about you based solely on enquiry content.
7. Disclosure to third parties
We may disclose personal information to:
- Service providers who assist with hosting, email delivery, analytics, accounting, or legal services, under contractual confidentiality obligations;
- Neural speech infrastructure vendors when required to fulfil a client project, only with client direction and appropriate safeguards;
- Professional advisors bound by duty of confidentiality;
- Law enforcement or regulators when required by valid legal process;
- Successors in the event of a merger or asset sale, subject to continuity of privacy protections.
We do not sell personal information. International transfers may occur when vendors process data outside Canada; we assess safeguards and notify clients when transfers are material to their projects.
8. Retention
Retention periods depend on context:
- Website enquiry records: up to twenty-four months unless a business relationship continues;
- Client contracts and deliverables: duration of engagement plus seven years for tax and legal purposes unless longer retention is required;
- Cookie consent choices: six months in local storage as described in our Cookie Policy;
- Server security logs: typically ninety days.
Voice reference materials tied to a specific project are deleted or returned at project close unless the contract specifies archival storage.
9. Security safeguards
We implement administrative, technical, and physical measures appropriate to the sensitivity of information handled, including access controls for studio systems, encrypted transport where supported, and staff training on confidentiality. No method of transmission or storage is perfectly secure; we encourage clients to avoid sending highly sensitive credentials through unencrypted email.
10. Your rights
Subject to applicable law, you may request:
- Access to personal information we hold about you;
- Correction of inaccurate or incomplete information;
- Information about how your data has been used and disclosed;
- Deletion where retention is no longer necessary and no legal exception applies.
Submit requests to [email protected]. We will verify identity before releasing information and respond within timelines prescribed by PIPEDA, generally within thirty days.
If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada or your provincial privacy commissioner where applicable.
11. Children
Our website and services are directed to business and professional users. We do not knowingly collect personal information from individuals under sixteen without appropriate parental or guardian authority tied to a defined project.
12. Automated decision-making
Our services involve neural models that synthesize speech. Model outputs are reviewed by human listeners before client delivery in standard engagements. We do not make solely automated decisions about your eligibility for employment or credit based on website interactions.
13. Changes to this policy
We may update this Privacy Policy to reflect operational, legal, or regulatory changes. The effective date at the top of the page will change when revisions are posted. Material changes affecting existing clients will be communicated through reasonable channels.

15. Complaints and regulatory contacts
We take privacy complaints seriously. If you believe we have handled your personal information contrary to this policy or PIPEDA, contact us first so we can investigate and remedy the issue where appropriate. Please include sufficient detail for us to identify your prior interactions and the nature of your concern.
If our response does not resolve your concern, you may file a complaint with the Office of the Privacy Commissioner of Canada (OPC). Residents of British Columbia, Alberta, or Quebec may also have rights under provincial private-sector privacy statutes when those laws apply to the transaction in question.
16. Glossary
Personal information means information about an identifiable individual, as defined under PIPEDA. Client materials means scripts, assets, and feedback you provide for a service engagement. Neural speech means synthetic audio generated by machine learning models, distinct from live human studio recordings unless explicitly labelled.
17. Data breach notification
We maintain incident response procedures for suspected unauthorized access to personal information. Where required by law or contractual obligation, we will notify affected individuals and regulators without unreasonable delay after confirming the scope of an incident. Notifications will describe what occurred, what information may have been involved, and steps we are taking to mitigate harm.
18. Access for persons with disabilities
We will provide this Privacy Policy in an alternative format upon request where reasonably practicable. Contact [email protected] with your preferred format and we will respond within ten business days.
19. Language
This policy is published in English. If we provide a French translation for convenience, the English version governs in the event of a discrepancy, unless applicable Quebec law requires otherwise for your specific transaction.
